Corporate Video Production Company Consolidating WeTransfer and NAS Storage

Company Situation

The company operates a corporate photo and video production company that manages numerous shoots and extensive post-production work. Their team setup is primarily freelance-based, with the company hiring external editors and other specialists rather than maintaining a large in-house staff. Their operations involve managing and coordinating media assets across multiple parties, including photographers, editors, and companies.

Existing Workflow

Currently, the company relies heavily on WeTransfer for all file exchanges. Photographers send raw images via WeTransfer to the company, who then organizes and calls selects before sending the assets, again via WeTransfer, to editors. Once editing is complete, files are transferred back to the company and then forwarded to the end companies. Storage is centralized on onsite NAS drives with about 50 terabytes of capacity, where all media assets are kept during and after projects.

Issues with the Existing Workflow

The workflow requires multiple transfers between parties using WeTransfer, causing delays and inefficiencies. Managing large media files through repeated upload/download cycles is time-consuming and prone to errors. On-premises NAS storage limits remote access and flexibility, impacting the team’s ability to work seamlessly from different locations. The use of multiple single-purpose tools for file transfer, storage, review, and approval creates a fragmented and siloed experience. Lack of integrated metadata and search capabilities slows down finding and organizing assets.

How Shade Would Change Their Workflow

Shade offers a unified cloud-based platform that consolidates file access, media asset management, and review/approval processes into a single interface. By mounting a Shade drive locally, users can stream large files on demand—similar to Netflix streaming—eliminating the need to download entire assets before use. Integrated AI-powered metadata generation and natural language search simplify asset discovery. Collaborative review and approval happen directly within the platform, with annotation and commenting features to streamline feedback. This cloud-first approach replaces the company’s on-prem NAS and multiple file transfer tools, enabling more efficient and flexible workflows for distributed teams.

Benefits

  • Elimination of repetitive file transfers through streaming access to assets anywhere, anytime
  • Faster and more intuitive asset search with AI-generated metadata and natural language queries
  • Centralized cloud storage removes dependency on physical NAS hardware and local infrastructure
  • Integrated review and approval tools reduce turnaround time and improve collaboration
  • Seamless compatibility with existing NLE (non-linear editing) tools via local drive mounting
  • Simplified workflow reduces friction and accelerates project delivery
